How distributors automate WhatsApp orders.

The complete order-to-cash cycle: from a WhatsApp message to a paid invoice, without re-typing anything.

Live in production with a distributor since April 2026.

What happens when your customers order on WhatsApp?

WhatsApp has over 2 billion monthly active users globally (Meta, 2024), and for distributors it is the default ordering channel. Your customers send orders as free-text messages: "send me the usual," a list of products with shorthand names, or a voice note at 4pm when 15 other customers are also ordering. Someone on your side reads each message, decodes the shorthand, looks up prices, types it into a spreadsheet or invoicing tool, and hopes nothing was missed. If the customer sends a correction 20 minutes later, the cycle starts again. Wasrio exists to replace every step of that cycle.

  • The forwarded voice note you have to replay three times
  • The "send me the usual 5L stuff" that could mean four different products
  • The copy-paste from WhatsApp to Excel, line by line
  • The 4pm rush when 15 customers order at the same time

What does "WhatsApp order automation" actually mean?

WhatsApp order automation is not a chatbot, not a product catalogue, and not a CRM. It is a system that reads a WhatsApp message and turns it into a priced, invoiced, tracked order. Wasrio is built specifically for this category. The difference matters: chatbots answer questions, catalogues display products, CRMs organise conversations. None of them generate an invoice or chase a payment.

How does WhatsApp order-to-cash work, step by step?

  1. Customer sends a message

Your customer orders on the same WhatsApp number they already use. They type in their own words, pick from a simple order form, or tap to repeat their last order.

  2. Order is read and priced

Wasrio reads the message, matches products to your catalogue, and applies the right price for that customer. Abbreviations, shorthand, and mixed languages are handled.

  3. Customer confirms

A priced summary goes back to the customer on WhatsApp. They confirm or adjust before anything is invoiced.

  4. Invoice is generated

A numbered invoice with the correct VAT, customer details, and line items is created automatically and sent to the customer on WhatsApp.

  5. Payment is tracked

Every invoice feeds into a live balance view. You see who owes what and how far overdue it is.

  6. Follow-up runs on schedule

Reminders go out at the intervals you set: 3 days, 7 days, 14 days. Each reminder carries a payment link.

  7. Reorder is predicted

Based on order history, the system flags when a customer is likely to reorder so you or the system can prompt them.

What if my customers send voice notes instead of text?

In development

Many distributors receive a mix of typed orders and voice notes, especially in markets where speaking is faster than typing. Wasrio's voice note processing is in development and will handle Arabic and English audio. Until it ships, Wasrio handles typed orders, order forms, and repeat-order taps to cover the same ground.

What makes Wasrio different from a WhatsApp CRM?

WhatsApp CRMs capture messages and organise conversations. Some let you tag and filter. But they do not read an order message into priced line items, generate a PDF invoice, track whether the customer paid, or send automated follow-ups. Wasrio covers the full cycle. If your business runs on "customer sends order, you need an invoice and a paid balance," a CRM covers only the first step.

FAQ

How does Wasrio handle product abbreviations and nicknames?

Wasrio learns your catalogue, including the shorthand your customers use. "The usual 5L stuff" gets matched to the right products based on what that customer has ordered before. The pricing is always rule-based and exact, never estimated. Wasrio's product matching uses the full order history for each customer account, so accuracy improves with every order processed.

What happens after an order is captured in Wasrio?

The captured order does not go to a spreadsheet. Wasrio automatically breaks it into products and quantities, prices it against your catalogue, confirms with the customer, generates a PDF invoice, delivers it on WhatsApp, tracks the payment, and follows up if overdue. That is the difference between order capture and order-to-cash. The entire cycle runs without anyone re-typing anything.

How is WhatsApp order-to-cash different from WhatsApp marketing automation?

WhatsApp marketing automation sends promotional messages, broadcasts, and drip campaigns. WhatsApp order-to-cash automation starts where marketing stops: when a customer sends an actual order. Wasrio reads the order, looks up prices, generates an invoice, tracks payment, and predicts when the customer will reorder. Marketing tools are built for acquisition. Wasrio is built for revenue operations.

Do my customers need to install anything or change how they order?

No. Your customers keep ordering on the same WhatsApp number they already use. They can type their order in their own words, pick from a simple order form, or tap to repeat their last order. Wasrio works inside the conversation your customers are already having with you. Nothing new to install or learn on the customer side.
