Guide

How distributors collect payments through WhatsApp.

Automatic reminders, EFT and PayShap payment tracking, proof of payment matched from WhatsApp, and a live view of every balance on 60 and 90-day terms.

How much time do distributors spend chasing payments?

Send reminders. Wait for "I will pay Friday." Friday passes.

Check bank statements to see who actually paid.

Match payments to invoices. Update your spreadsheet.

Repeat every week for every overdue account.

How does Wasrio automate payment collection?

  1. The invoice goes out

Every confirmed order generates an invoice with a Pay now button. The customer gets it on WhatsApp immediately.

  2. The due date passes

The system knows the terms you set for each customer: 30, 60, or 90 days.

  3. Day 3 reminder

A polite reminder with the amount due and a Pay now button for PayShap, EFT, or card goes to the customer on WhatsApp.

  4. Day 7 reminder

A follow-up referencing the invoice number and outstanding amount.

  5. Day 14 escalation

A firmer reminder. You decide the wording and escalation schedule.

  6. Payment received

The customer pays via the link (PayShap, bank transfer, or card) or pays by EFT and sends proof of payment on WhatsApp. The payment is matched to the invoice.

  7. Balance updated

The customer's account is settled automatically. The live ageing view reflects the change immediately.

How is Wasrio different from a payment gateway?

Payment gateways process individual transactions. Wasrio provides receivables management: tracking who owes what across dozens of accounts, sending reminders on schedule, matching payments to invoices, and keeping a live balance view. Distributors do not use payment gateways for their daily collections. Their customers pay by bank transfer, EFT, or cheque, and the money needs to be matched to the right invoice.

Why does Wasrio use WhatsApp for payment collection?

  • Your customers already check WhatsApp. Reminders land where they are, not in an email they ignore.
  • Proof of payment can be sent as an image in the same conversation.
  • The Pay now button in the message takes them to PayShap, EFT, or card payment. One tap.
  • The conversation history is a reference both sides can see.

Who is this for?

This is for:

  • Distributors carrying customer balances and chasing EFT payments every week
  • Businesses spending hours matching bank statements to invoices
  • Owner-operators doing the follow-up themselves while the power goes on and off

This is not for:

  • Once-off retail and POS businesses
  • Businesses without recurring customer relationships
  • E-commerce businesses with instant payment at checkout

How do you get started with Wasrio payment collection?

You send us your customer list with outstanding balances. Wasrio sets up your payment terms, reminder schedules, and WhatsApp number. The first automated reminders go out within a week.

FAQ

Does Wasrio actually collect the payment or just send reminders?

Both. Every reminder Wasrio sends carries a payment link. Your customer can pay by card, bank transfer, or PayShap directly from WhatsApp. If they pay by EFT and send proof of payment, Wasrio matches it to the invoice. The balance clears automatically. You do not chase, match, or update anything manually.

Can I set different payment terms for different customers in Wasrio?

Yes. Each customer has their own terms in Wasrio: 30, 60, or 90 days. The reminder schedule adapts to those terms automatically. You set the terms once per customer and Wasrio handles the follow-up cadence from there.

What if my customer says they paid but I cannot find the deposit?

Wasrio shows every invoice, every payment received, and every open balance in one view. If a payment does not match, you can see exactly which invoices are still open and what the outstanding amount is. The live balance view removes the guesswork from payment reconciliation.
