Guide

How distributors send invoices through WhatsApp.

VAT invoices with your VAT number, in Rand, generated the moment the order is confirmed.

Why do distributor invoices take so long?

Read the WhatsApp order. Decode the shorthand.

Re-type it into Excel or Sage. Look up each product price.

Calculate totals. Add VAT. Generate a PDF.

WhatsApp the invoice back. Busy days push it to tomorrow.

How does Wasrio generate and send invoices automatically?

  1. The order is confirmed on WhatsApp

The customer confirms the priced summary. This triggers the invoice.

  2. Prices are looked up automatically

Customer-specific pricing, volume discounts, and agreed terms are applied from your catalogue.

  3. The invoice is generated

A numbered PDF invoice with correct line items, quantities, prices in Rand, 15% VAT as its own line, and your VAT number.

  4. The invoice is sent on WhatsApp

The customer gets it in the same conversation. One tap to view, one tap to pay by PayShap, EFT, or card.

  5. The invoice is stored

Every invoice is stored for statements, audit, and ageing tracking.

What Wasrio invoicing is NOT

  • Not a payment link generator.
  • Not a Shopify checkout.
  • Not a generic PDF sender.

Wasrio generates invoices from real catalogue prices, customer-specific discounts, and confirmed order data: a proper commercial document with your business details, VAT number, and sequential numbering.

How does manual invoicing compare to Wasrio?

The difference is not speed alone. It is what happens to the data after the invoice is sent.

Is this for you?

This fits if:

  • Your customers order on WhatsApp and expect an invoice back
  • You have recurring customers with agreed pricing
  • You need VAT-compliant invoices with your business details
  • You want payment tracking built into the invoicing flow

This is not the right fit if:

  • You sell once to each customer and never again
  • Your customers do not use WhatsApp
  • You need only a payment link, not a commercial invoice

How do you get started with Wasrio invoicing?

You send us your product catalogue and price list. Wasrio configures your pricing rules, VAT settings, and invoice template. The first invoice goes out the same day your first order arrives.

FAQ

Can I customise the Wasrio invoice template?

Yes. Your business name, logo, VAT number, and payment terms appear on every invoice Wasrio generates. The layout is clean and professional, designed for WhatsApp delivery. Wasrio supports bilingual invoices for businesses that operate in Arabic and English markets.

How does Wasrio handle VAT on invoices?

Wasrio applies VAT automatically based on your tax registration. For UAE businesses, invoices carry your TRN and 5% VAT in both Arabic and English. For South African businesses, 15% VAT appears as its own line. The tax calculation is built into the invoice generation, not added manually.

Can I re-send old invoices through Wasrio?

Yes. Wasrio stores every invoice and it can be re-sent at any time. Your customer can also request their invoice history directly on WhatsApp. The invoice archive is searchable by customer, date, or invoice number.

What if the customer disputes a price on a Wasrio invoice?

The price comes from your catalogue, not from a manual entry. Wasrio applies the exact price you set for that customer. If you update a price, future orders use the new price. Disputes are rare because the customer sees and confirms the priced summary before Wasrio generates the invoice.
